Reserve Policies and Procedures - Information for Faculty
Reserve materials are required or supplemental course-related materials that are designated by the course instructor. They can be print materials, AV materials, or digitized PDF files. They usually have shorter loan periods and are only available to the students enrolled in the course. For Distance Learning classes, please contact the Distance Learning Librarian at 974-7733.
Please allow seven business days for the material to be ready for use by students.
- A Reserve Request Form must be submitted with each reserve item. The form can be:
- Personal materials may be placed on Reserve with the understanding that damage, loss, or theft is a possibility. However, if a personal item placed on Reserve is severely damaged, lost, or stolen, the Library will attempt to recover the loss from the patron responsible as per our Circulation Policies for lost/damaged materials or purchase a replacement copy.
- Book chapters, journal articles, and lecture notes can be placed on electronic reserves. Adobe Acrobat Reader is required to access the e-reserve materials (see below for copyright guidelines).
- When placing DVDs on Reserve, instructors must submit a class roster, which includes students’ first and last names and ID numbers.
- Materials borrowed from other libraries may not be placed on Reserve.
- Materials from the library’s non-circulating collections may be placed on Reserve only with the approval of the subject area librarian, with a loan period of two hours (library use only).
- Materials may be kept on Reserve only for the duration of the specified course, usually one semester.
- In order to place student work on Reserve, written permission must be obtained from the author. Permission forms are available online or at the Circulation Desk.
- Photocopying and scanning of materials will be charged back to the department at 15¢/page (new rate - Fall 2009).
Copyright Guidelines
The Mookini Library reserves the right to refuse to place material on Course Reserves if fulfillment of the request is judged (by the Library) to violate copyright law.
The Library will seek copyright clearance if:
- More than one article per journal issue or one chapter per book is required
- More than 5 copies of a print article are needed
- A print or e-reserve article or chapter is needed for a second consecutive semester
If the total copyright fees for Reserve items for a course exceeds $50.00 per semester, the Library will consult with the instructor regarding the payment of excess fees. Instructors always have the option of consulting a subject Librarian on alternative, free resources. Visit the Library to speak with someone in person or email us at mookini@hawaii.edu

Information
for Students
Students should have a UH ID card or current, valid, government-issued photo ID to check out materials on reserve
at the Circulation Desk.
Search reserve materials on the Hawai‘i Voyager Demo
- Go to the library's home page
- Click on "Course Reserves" under Library Catalog
- Search reserve materials by instructor's name, campus, and course.
Write down the title and call number of the item.
- Request and check out at the Circulation Desk.
- To access electronic reserves (e-reserve), Acrobat
Reader is required. If you have a slow modem, an Acrobat Reader
CD can be checked out at the Circulation Desk.
Return
Return reserve materials directly to the Circulation Desk. The borrower
will be responsible for the material and any fines incurred before being returned to Circulation.
Loan periods of reserve materials
2 hours - For 2 hour use in the library only.
4 hours - For 4 hour use in the library only.
1 day - Must be returned the next day before the library closes.
2 days - Must be returned on the 2nd day before the library closes.
7 days - Must be returned on the 7th day before the library closes.
Fines
All reserve materials should be returned by the date and time assigned
on the date due slip or fines will be assessed. There is no grace
period.
Reserve fines are calculated as follows:
- $1.00 for each hour
- If the item is overdue for more than 10 hours, it will be considered lost. $10.00 in overdue fines, plus $10.00 in lost processing fees, plus $60 or actual cost of replacement copy of the item will be billed to the borrower.
